World Wine Company Limited (RTG) is a company specializing in distributing wine product lines (Chile, France, Italy), Korean wine, spirits, fruit juices in Vietnam. Among them, PASSION - Wine of Chile is the exclusive wine brand that lays the foundation for RTG's development. Has over 100 employees, the company faces many challenges in managing business operations, including human resources management, inventory, and finance, especially as the business operates in the commodity trading sector with wholesale and distribution activities. Most of the business management processes are still done manually and tracked through Google Sheets, leading to many risks and inefficiencies in controlling and managing data.

Challenges

The fact that RTG previously did not use any supporting tools or software led to many difficulties. Specifically:


Using Google Sheets to manage customers and orders makes it difficult to manage sales orders, control debts and often forget to take care of customers, leading to low conversion rates and affecting profits.


Difficult to manage inventory while RTG has a very diverse product line. Especially in the wine distribution business, it is important to ensure good management of products by batch/date, ensure that near-expiry batches are shipped first and reduce storage costs, which cannot be solved if using Google Sheets.


Not being able to track multi-channel sales performance (sales website, MT/GT channel distribution, in-store sales) leads to difficulties in tracking actual inventory to plan early purchases, avoid running out of stock for sale and causing disruptions in the supply chain.


RTG is currently using MISA software for accounting management. But this software cannot expand its features and does not support the mobile version, causing inconvenience in the monitoring and management process. The lack of an overall management system like ERP leads to many problems in supply chain management, reducing business performance and not meeting RTG's expansion needs, this is the main reason why RTG decided to deploy ERPNext software under MBW Digital's comprehensive implementation consulting service.

Real-time inventory tracking, automatic inventory, and operational support through the warehouse management system (WMS).

Manage customer lists, transaction history and customer care to improve service quality and loyalty.

Accounting:

Automatically record payments, reduce errors and save time. Detailed debt reporting system, supporting cash flow control and preventing risk of capital loss. At the same time, ERPNext integrates discount and promotion policies, ensuring accurate application.


Manufacturing:

Expand the system to support manufacturing operations with features such as:

+ Production planning: Based on orders, demand forecasts and raw material supply capacity.

+ Production tracking: Monitor progress in real time, from raw material preparation to finished product completion.

+ Raw materials management: Monitor details of import - export - raw material inventory, ensure timely supply, avoid waste.

+ Quality control: Integrate quality control standards at each stage, minimizing errors and ensuring products meet requirements before shipment.

+ Production performance report: Provides detailed reports on machine performance, labor productivity, and production costs, helping to optimize operations.

Optimize management and operations:

After implementing ERPNext, RTG applied a role-based authorization system to track promotions, eliminating the situation where employees arbitrarily change the number of gifts. In addition, import and export activities are also monitored more specifically and historical information is kept.

RTG has applied the WMS system in ERPNext to accurately control the quantity and location of goods and automate warehouse processes, reducing loss and inventory discrepancies.


Sales and debt management:

RTG has integrated price lists, promotion policies and price rules in ERPNext to support the sales team to increase competitiveness and revenue. In addition, the debt system tracks payment status in real time, reducing the risk of capital loss.


Data integration and traceability:

ERPNext seamlessly connects data between departments, ensuring consistency and high traceability, contributing to improving internal control efficiency. In addition, thanks to the mobile version support, businesses have the flexibility to use accounting features in ERPNext in parallel with MISA accounting software to meet a variety of operating needs.
